General Questions
What are the minimum Operating System requirements to run Proctortrack?
Minimum OS requirements are listed at https://www.proctortrack.com/tech-requirements/.
How much hard drive space should be available on student devices to use Proctortrack?
A minimum of 2 Gigabytes.
Will Proctortrack work on an iPad, tablet, or mobile device?
No, a test has to be taken on a desktop or laptop.
How does Proctortrack work for students who don't have access to a webcam?
No. Please contact examcentral@uwo.ca.
Instructor Questions
Are there any procedural supports for instructors to reference?
Yes. The most comprehensive manual can be found at https://ecampusontario.pressbooks.pub/proctortrack/.
As instructors, how do we know if we can use Proctortrack for our tests and exams?
Your departments should have reached out by now to see if you were interested in using Proctortrack. We have a list of all tests and exams that have been approved to use Proctortrack and we can check for you or you can check with your department.
Can TAs be given admin access?
Yes. In OWL add them as a "secondary instructor".
Can faculty members allow the use of other applications during an exam proctored using Proctortrack (i.e., a Word Processor, access to other websites)?
Yes, Proctortrack can be configured to allow/whitelist external applications. To learn how to whitelist a URL/application please refer to https://ecampusontario.pressbooks.pub/proctortrack/.
What types of prohibited behavior does Proctortrack detect?
Proctortrack is able to detect when a student uses notes online or off, leaves a test session, is replaced by another test taker, cooperates with another person, runs blacklisted applications, or tries to copy test questions.
What settings are faculty able to set to customize in their exam environment?
There are many aspects of proctoring that can be customized, e.g. what is allowed and what is not allowed. A complete list of customizations is listed in the Proctortrack instructor manual.
Will instructors receive support directly from Proctortrack?
While Instructor technical support is available through Proctortrack, please use examcentral@uwo.ca to request support from Western first. We will connect you with Proctortrack support if/when necessary.
How are grades transmitted back to the institution?
Grades remain in OWL, and Proctortrack does not access or interfere with grades. Proctortrack provides proctoring as an overlay on top of the LMS.
Is there a feature on Proctortrack that students can use to write "notes" to their professor?
There is no built-in feature for students to communicate with their professor in Proctortrack. You could allow students to look down and write on paper and then present the written paper to the screen. This would require to enable the "ALLOW HANDWRITTEN NOTES" setting at the exam level (OR DON'T ENABLE SO THAT IT TRIGGERS YOU TO LOOK AT THE NOTE).
Can instructors include formula sheets?
Not on Proctortrack - but they can on OWL which will transfer over to Proctortrack.
Can you set up an exam within a window of time?
Yes. For example, you could set your dates for a 3 hour exam from June 8 at 9am through June 10 at 7pm. The student would have 3 hours from the time they started within that window.
Does Proctortrack flag an accommodated student who needs extra time when they get up for their breaks?
Please note that the accommodated duration must first be set in OWL (so that that OWL assessment does not time the student out while they are in Proctortrack). The time in Proctortrack (under student settings) must be adjusted when greater than 240 minutes, but if it is less than 240 minutes the OWL duration should be sufficient.
If you select "short rest breaks" under the student settings tab on Proctortrack, there will not be a marked violation when the student gets up to leave the room for a break. If you would rather review the break following the exam, simply do not check off "short rest breaks" and you will be able to review the flag on the video.
Will faculty be able to run short, trial exams with their students?
Yes. This is done during the student onboarding process.
Can students use two different devices? One for the Test within OWL and the other device for Proctortrack?
Proctortrack does not support mobile devices as a mode of test-taking. There is a companion app feature that allows students to use their phone for the Face/ID scan, but it must be paired with a laptop/desktop to take the test itself. Also, due to the speed of the roll-out for summer we haven't been able to do any testing with the mobile app as of yet.
Can a student be taking a test using Proctortrack and have Zoom also running on the same computer during the test?
Zoom could be open, but the microphone and video on zoom would not work because Proctortrack needs access to these. This is the same situation if you were to run MS Teams and Zoom call at the same time. Only one program on your computer can access the microphone or webcam at one time.
Student Questions
What happens if a student's device crashes or freezes during an exam?
Students can restart the computer and Proctortrack will either continue from where it left off, or students will need to restart the test flow from LMS. It depends on how long it took to restart the computer.
What happens if a student loses Internet connectivity while doing an exam?
Proctortrack will continue to run and capture data. Once the exam is complete and the internet resumes, Proctortrack will upload the captured data. If students are found to be violating exam rules during the time in which the internet is down, the session will still be flagged for violations.
How long will it take a student to be onboarded?
The onboarding process for students should take less than an hour. The record of students onboarding results is available approximately 1-4 hours after they complete their onboarding test.
When should students complete the onboarding?
Students should complete onboarding at the beginning of the term so any problems can be resolved before the proctored test.
Does the student have to onboard for each course they are writing with Proctortrack?
Yes. Students need to onboard for each course.
What type of ID is recommended for validation?
Western student ID is preferred.
Is there a live chat or other mechanism for a student to get technical support during an exam?
Yes. Proctortrack provides live support during the exam.
