Obtaining Your Diploma After Convocation

Congratulations on your recent attainment!

For those convocating in the morning ceremony you will be able to pickup your degree beginning at 11:00AM.

For those convocating in the afternoon ceremony you will be able pickup your degree beginning at 3:00PM.

We will remain open for degree pick-up until 6:00pm. Students will not be able to pick-up their degrees prior to these times.

You will be required to provide your Western ONECard to pick up your parchment.

Obtaining Your Diploma If You Couldn't Attend Convocation

Congratulations on your recent attainment!

If you are unable to attend your convocation ceremony, your diploma will be available for pickup in-person from Student Central after 3 business days after the date of your scheduled ceremony. (For example, if your convocation is on a Monday, the earliest you can pick up your degree would be Thursday of the same week.)

If you are unable to obtain your diploma in-person you can request your diploma to be mailed. Diploma Mailing will be available for graduates one week prior to your convocation date (see below for further details about Fees & Processing Time and Online Diploma Ordering).

You may designate someone to pick up your degree on your behalf by setting up a Release of Information. From here you can specify the individual to whom you wish to give access and the specific access that you wish to assign to this individual.  For "In-Person" pick-up, your authorized individual will be required to present a piece of government-issued photo identification.

Note: Original diplomas are retained in the Office of the Registrar for two years following Convocation, after which time they are destroyed and students will be required to order a Diploma Replacement.

Mail Delivery

In accordance with the Freedom of Information and Protection of Privacy Act (FIPPA) Western is responsible for protecting all personal information under its custody or control. By placing an online order, you are certifying that you are the student as stated; that the information provided is true and correct in all respects, and that you authorize the University of Western Ontario only as indicated.

Fees & Processing Time

Fees for mailing diplomas are $40.00 for mailing within Canada and $80.00 for mailing outside of Canada.

If you are requesting more than one diploma be mailed at the same time, you will only be charged the mailing fee once and all diplomas will be mailed together.*

Diploma mailing may take up to 3 weeks following your convocation date or receipt of the request.

Western University utilizes FedEx for diploma mailing.

*At this time diplomas cannot be couriered together with any other service (e.g. Transcript, Official Western Letter).

Online Diploma Ordering

Online Diploma Ordering is available via Student Center under Academics Tile > Graduation Tile > Diploma Mailing. Online payment must be made by VISA or MasterCard only through our secure ecommerce system.

If your diploma has been LOST, STOLEN or DAMAGED or it has been more than 2 years since your graduation you will be required to order a Diploma Replacement.

Note: You will not be able to order a diploma replacement through this online service.

Early Release Request

Degrees, Diplomas and certificates normally will not be awarded in advance of convocation ceremonies.  However, a degree, diploma or certificate may be released early at the discretion of the Office of the Registrar if the student demonstrates that the document is required by an employer or needed for a work visa.

Students presenting an official offer of employment or the request for visa documentation may seek the release of their diploma no sooner than four weeks before their scheduled convocation by completing and submitting a Request for Early Release of Diploma form.  **Early release is subject to the availability of award information**

The document released will bear the date of the appropriate scheduled convocation ceremony.

All other students who require notice of confirmation that their program has been completed (in addition to an official transcript) may apply to the Office of the Registrar with a request for a letter attesting to the fact that they have completed the requirements of their program see the Official Western Letter page.

To Submit an early release request please follow the steps listed below:

STEP 1: Complete the Early Release Form 

Submit it along with the supporting documentation that demonstrates you require your degree prior to your conferral date to satisfy a condition for an offer of employment or it is needed for a work VISA application by dropping it off in person at Student Central or emailing the completed documents to degrees@uwo.ca. 

STEP 2: Your request will be reviewed by the Office of the Registrar and processed if you have met the Early Release eligibility requirements. Once your request has been reviewed you will receive an email to confirm if your request has been approved containing an Authorization code and payment instructions. 

STEP 3: Complete Payment via PurplePay using the link included in the approval email and reply directly with your PurplePay confirmation number included once payment has been made. 

STEP 4:  Your Early Release Request will be processed and available for mailing/pick up no sooner than 4 weeks prior to your official confer date.

Request for a Duplicate/Replacement Diploma

Please follow the steps below to submit your completed form and payment for a Duplicate/Replacement degree.

STEP 1: Submit payment in Purple Pay. If you are ordering multiple degrees you can order the first one and select the appropriate shipping option for any additional copies or degrees you can us the 'Extra mailing for multiple degrees' selection

After you have submitted the payment you will receive an email with the PurplePay reference number that shows you have paid.

STEP 2: Complete the Duplicate/Replacement Diploma Form and drop it off along with the required identification to Student Central or submit your completed documents by emailing degrees@uwo.ca.

PurplePay uses a Moneris storefront to authenticate credit card payments.

STEP 3: Your request will be processed.

* Duplicate/Replacement Diploma requests may take up to 6 weeks to process *

If a student’s degree, diploma or certificate has been lost, stolen or destroyed, OR the student requires a duplicate or duplicates, subsequent diplomas can be produced by completing the information below. Please note: All subsequent degrees, diplomas and certificates will be issued using the current Western diploma printing standards and Officers, with the words “Duplicate Copy” affixed to the parchment.

Diploma Authentication

Western offers a diploma authentication for students who have already graduated and have their physical diploma with them or have not yet picked it up within 2 years of their convocation. We do not notarize diplomas.

To qualify you must have your physical diploma* with you, or you your diploma in Student Central awaiting pickup (within 2 years of your convocation).

STEP 1: Pay online using PurplePay at 
https://sc.purplepay.uwo.ca//student-central/degree-authentication

After you have submitted the payment you will receive an email with the PurplePay reference number that shows you have paid.

STEP 2: Complete this form http://registrar.uwo.ca/services/pdfs/DiplomaCopy.pdf to tell us what you would like us to do and email it to us at sletters@uwo.ca.

*If you have your physical diploma with you, you will need to submit a photo of the diploma electronically for us to authenticate it.

STEP 3: We will process the request in 4-5 business days (often sooner).

To verify a degree from The University of Western Ontario, please visit the AuraData website or call:

Confidentiality is a primary concern of The University of Western Ontario and AuraData. A signed authorization from the graduate is required by AuraData before any information is released.

Hiring Agencies

If you have a form that needs completing, please follow the following instructions. 

STEP 1: Pay online at https://sc.purplepay.uwo.ca/student-central/third-party-education-verification

After you have submitted the payment you will receive an email with the PurplePay reference number that shows you have paid.

STEP 2: Complete this form https://www.registrar.uwo.ca/forms/purplepayexternal.pdf to tell us what you would like us to do and submit it to our Virtual Helpline choosing the PurplePay option. A signed consent form must also be included.
