Western postpones Spring Convocation, degrees still conferred

March 26, 2020 – 5:50p.m.

To our graduating students and all members of the Western community:

I’m writing to inform you that we have decided to postpone Western’s spring convocation as part of our larger response to the COVID-19 pandemic. This includes all scheduled ceremony dates from May 22 through June 19.

This difficult decision was made earlier today by the University’s Convocation Board. I regret having to share such disappointing news and wanted you to know as soon as possible.

Our decision was made with guidance from public health authorities and with the best interests of our community at heart, particularly those of our graduating students and their families, as well as the many faculty and staff whose efforts make convocation such a joyous occasion.

FAQs amid COVID-19

If Convocation is being postponed, when will the in-person ceremony take place?

We are committed to enabling graduating students to participate in a future convocation ceremony after the threat of the COVID-19 pandemic has safely subsided. We will provide further updates on this as our plans develop.

If I was to be a walk on in June what should I do?

Will I still be able to graduate in May/June?

All students who apply to graduate before April 30, 2020 and who meet all the necessary requirements to graduate will be conferred their degrees this May/June. Your graduation status will be reflected on your official transcript.

I had already ordered my regalia for June, will I get a refund?

If you have already registered and paid for your graduation regalia, Gaspard offices are working in a limited capacity, including several temporary office closures. They will process your refund within the next 30 days. If you have any questions, please email them at alphaomega@gaspard.ca.

How will I receive my degree?

Western is exploring options for mailing degrees and diplomas in the Spring. We thank you for your patience as we work through these options. We will share more information once it’s available. In the event we do mail the degrees and diplomas, please ensure your address is up to date on your Student Center.

Will my graduation be reflected on my transcript?

All students who apply to graduate before April 30, 2020 and who meet all the necessary requirements to graduate will be conferred their degrees this May/June. Your graduation status will be reflected on your official transcript. An in-person Convocation ceremony will take place at a later date.

I have not applied to graduate for this Spring – am I too late?

No, you’re not too late. Students have until April 30, 2020 to apply to graduate. All students must apply to graduate through their Student Center. To apply, log in with your Western ID and from the Main Menu, select Self Service > Graduation > Apply for Graduation and follow the on-screen instructions. You must also ensure that you verify your name on the system.

My family has booked travel – what about refunds?

Unfortunately, we do not issue refunds for guest travel.

Will Fall Convocation move ahead as scheduled?

It is too soon to make this determination. Western will continue to monitor the ongoing situation with COVID-19, taking direction from Federal, Provincial and local health authorities and share information about Fall Convocation when it is available.

How to Apply to Graduate

All students must apply to graduate through their Student Center. To apply, log in with your Western ID and from the Main Menu, select Self Service > Graduation > Apply for Graduation and follow the on-screen instructions. You must also ensure that you verify your name on the system.

Undergraduate, Professional, Certificate and Diploma Students*

You must apply to graduate by the deadlines below:

  • Spring Convocation (June): April 30
  • Autumn Convocation (October): September 8
  • In-Absentia February Convocation: January 22

*Late graduation application fees are $100 and requests can be sent to contact@uwo.ca.

Graduate (School of Graduate and Postdoctoral Studies) Students**
